The Challenge: One Collection, Seven Sets of Paperwork

An MSP approached us looking for a straightforward IT recycling solution, not only for their own organisation but also for six of their clients. Each of those clients needed its own, completely separate paperwork trail.

That meant seven individual sets of documentation from a single job: seven Waste Transfer Notes, seven Asset Inventory Sheets, and seven Certificates of Data Destruction. Without the right process behind it, this kind of multi-client collection can easily collapse into a single unwieldy report, leaving the MSP to work out afterwards which devices belonged to which client.

The Solution

We booked in one collection date and built the IT asset disposal process around the seven organisations from the outset, rather than sorting it out after the fact.

Every device was collected, logged, and tracked against its correct client from the moment it arrived. This meant each organisation's equipment stayed separate throughout sanitisation and processing, with no cross-referencing needed at the end to work out ownership.

The Outcome: Seven Clean, Separate Audit Trails

The MSP received seven distinct sets of paperwork, one Waste Transfer Note, Asset Inventory Sheet and Certificate of Data Destruction per client, ready to pass straight on or file for their own compliance records.

For us, running the collection this way took no extra effort; it is simply how we book equipment in. For the MSP, it removed a job they would otherwise have been left to do themselves: picking through one large sheet to separate six clients' worth of devices.

Across all seven collections, 188 devices were processed, weighing 412.7 kg in total, saving an estimated 13.2 tonnes of CO2e.

Final Thoughts
