The 35-Site National Refresh: Taming a Logistical Beast for Social Good



The Challenge


When you are staring down a massive, nationwide laptop refresh, the logistical math gets messy very quickly.


A prominent UK enterprise recently found itself in exactly this position. With 35 separate sites scattered across the country, their initial instinct was to source regional ITAD providers to handle collections locally.


On paper, it sounds logical. In reality, it’s a compliance nightmare.


Using multiple vendors across different regions means juggling fragmented timelines, mismatched asset-tracking methods, and a scattered paper trail. When you are dealing with thousands of data-bearing devices, the lack of centralised control is a massive corporate risk. Assets get lost in transit, and your audit trail falls apart.

The Solution


To make the process as seamless and low-effort as possible for their internal IT teams, we didn't expect them to manage 35 separate collection days. Instead, we coordinated a hub-and-spoke strategy.


We collated the equipment from all 35 minor offices into 7 main corporate hubs spanning from London all the way up to Scotland. From there, our secure, tracked logistics team swooped in to do the heavy lifting.


The sheer scale of what we extracted and processed across those 7 core collections was immense:

  • 3,293 individual items securely collected.

  • 5,318.5 kg of hardware diverted from waste streams.

  • 203 metric tonnes of CO2 emissions were prevented through circular reprocessing.


With over 3,000 items in motion, a generic, high-level summary report wasn't going to cut it for their compliance officers. They needed absolute, granular visibility.


Our processing team got to work logging and tracking every single asset. To give them absolute peace of mind, we delivered a comprehensive, multi-layered reporting package:

  • Individual Location Breakdowns: Separate, dedicated data sanitisation and inventory documents for every single one of the 7 collection hubs.

  • The Cumulative Master Report: A unified project report compiling the data from all collections, and providing overall ESG statistics to support their targets. 


Whether their team needed to look at the project from a top-level approach or drill down into the forensic serial number of a single hard drive from a specific Scottish office, the data was right there; clean, compliant, and easy to access.




The Outcome: A Nationwide Refresh With Local Impact


This client didn't just want to clear out their cupboards securely; they wanted to use their retired tech to drive their ESG targets. Specifically, they wanted to give back to charities operating in the exact regional communities where their offices were based.


They polled their own staff for input, creating a wishlist of local grassroots organisations in London and Scotland. We took that list and did the legwork. We contacted the charities directly, deciphered their specific technology needs, noted their desired quantities, and got to work rebuilding and configuring the devices.


Off the back of this refresh project, we donated over £4,000 worth of premium, refurbished enterprise laptops to their employee-chosen charities, as well as pushing excess working hardware into our own digital inclusion network.
